If you're not looking to create a personal booking page, but instead want to set up a shared booking page for your business or a specific team then we've a guide for that too.
Good to know
Before we start, there are a few things worth being aware.
-
Terminology
Microsoft refers to your different bookable meetings shown to clients on your Booking page as meeting types.
-
You already have a Bookings page
If you have a Microsoft account, you already have a Booking page, even if you didn't know that you did. You won't have any meeting types available on it, but the page exists.
-
Creating multiple meeting types
This guide will take you through creating your first meeting type, but you will need to follow the steps multiple times to create any additional meeting types you want to offer your clients.
-
Private and public meetings
In Bookings, you can create completely private meeting links too that are not publically visible, they are only accessible via a link that you can send to people. This is configured as part of the new meeting type process below.
Step-by-step guide to creating a new meeting type
- Go to https://microsoft365.com, login with your Microsoft account details, then click the 9 dots at the top left of the page. Search for and click on Bookings.
- On the Bookings home page that loads, find the section labelled “Personal booking page.” and click on Create meeting type.
- This will bring up the meeting creation page for your new meeting type. Complete each of the steps below:
- Give the meeting a client-facing name.
- (optional) You can choose one of your Microsoft colour categories to apply to your meeting. This isn't shown to the customer at all, it simply adds the appropriate coloured category flag to your meetings and notifications to make them easier to find in your Outlook mailbox and calendar.
- Add a description to let people know what the meeting is about.
- Select whether the meeting will be online or offline.
- If you want to create an in-person meeting, type the location's address.
- If you want to create an online meeting select the Teams meeting toggle. If the Teams meeting toggle is greyed out you'll need to contact your IT administrator for help.
- Set the duration of the meeting.
- Choose whether the meeting type will be public (visible on your booking page) or private (only accessible via a direct link).
- Under schedule customisation, you can opt to either use your regular working hours or you can create custom availability using the drop down. If you select Customised availability hours you'll be presented with the options below. You can also set custom hours for a specific period of time only. After the time has elapsed, your normal hours will apply again.
- Click the advanced options button to be presented with further useful options to customise your meet type.
- Buffer Time: Add buffer time before and after meetings for breaks or preparation.
- Limit Start time to: Select the granularity of time slots start times shown in your diary. You can show incremental start times from 5 minutes to 1 hr.
